How to Create a Workflow?

Go to Home Page of the application

Step 1: Click on “Workflows”

Step 2: Click on “Manage Workflows”

Step 3: Click on “Create Workflow”

Step 4: Select Type of workflow required

Step 5: Search the template for which the workflow needs be configured by entering its name in the field and by clicking on search button

Step 6: Select the Required Template

Step 7: Provide a “TITLE” for the workflow
Then select the “Identifier” and “Reference”. Identifier is generally the name of vendor / provider / lessor / partner etc. Reference is generally the NFA reference.

Step 8: Select type of flow to be “Ordered” or “Unordered”.
- Ordered workflow is selected when we want the various workflow steps to be executed in series, i.e, one after the other.
- Unordered means all steps get executed at the same time (in parallel).
Airtel workflows are generally ordered in nature.
· Click on “Add Step” button

Step 9:
- The first step should invariably be a Review step by a user team member. For the review step, specify the following in the step:
o Title of the step: Review by “XYZ”,
o Leave “action” as “Edit”
o Select “User” as “Registered”
o Specify “Name” of the user by selecting from the dropdown
o Leave “Variables” as blank because we want the reviewer to be able to edit all variables.

o Click on “Add+” to add the step.

o For further steps click on “Add Step” again

- Save the workflow by clicking on the “Save workflow data” button

After creating the workflow you will get the confirmation message
- The subsequent steps can be for approvers, any other reviewers and signers. Use the following table to configure the steps

Some more description of the above parameters:
Action:
“Edit”à for Signing
“Validate”à for Approvals
“Edit & reject”à means for Reviewing.

- Users:
o Registered: User on QCM Application à for Airtel users
o Unregister: User not registered on QCM Application for Airtel users
o To Be Requested: needs to be used for the external signatories
o Document Data: if the details can be extracted from document (email and name details)


- Fully manage Rejection
User can choose whom to send document after rejection

- Limit Variable edition:
• For Signatories we need to restrict the variables editable by them by specifying the variables in the variables box
• If you don’t specify anything in the variables box then the signatory can edit all variables. We should do this only for the Reviewers.


If we want see the created workflow
• Click on “Workflow” then click on “Manage workflows” and again on “Browse workflows”

Search by “Workflow name” created by entering the
name in field and click on search button.

Then click on “i” icon ii the “workflow” to view the details

Here we can view the details of the workflow

Click on “Edit” icon on the workflow to edit the created workflow

• Click on the “edit” icon to edit the workflow
• Click on “Delete” icon to delete the workflow
